Every club needs rules. These are ours.

Below is the official constitution of the University of Lethbridge Art Society. It covers who we are, how we run things, what we expect from members and execs, and how we make decisions.

Important: The Art Society supports human-made art only. No generative AI is allowed in any of our events, exhibitions, or the niche Gallery. This is non-negotiable.

This is a living document, it can be changed or updated by the exec team, but any changes must be communicated to members and the Students' Union.

University of Lethbridge Art Society Constitution

1. Name


The name of the organization shall be the University of Lethbridge Art Society (hereafter referred to as the Art Society). 

2. Purpose and Mandate


The purpose of the Art Society is to foster a sense of community among all University students with interest in the arts and the broader Lethbridge community, and to facilitate opportunities for the creation and appreciation of art.

The Art Society supports human artists and does not permit generative AI in any of its events, exhibitions, or gallery spaces.

The Art Society's core goals are:

  • To build relationships between students early in their degree programs and those later in their studies

  • To provide resources and opportunities that extend beyond classroom learning

  • To strengthen community within the University of Lethbridge Art Department and local arts scene

3. Membership


Membership in the Art Society is open to:

  • All University of Lethbridge students, faculty, and staff

  • Members of the broader Lethbridge community

A person becomes a member by submitting their contact information to an executive member.

4. Governance and Compliance


The Art Society shall:

  • Abide by all University of Lethbridge Students' Union (ULSU) bylaws and policies unless otherwise approved by the General Assembly (GA)

  • Act in accordance with the Alberta Human Rights Act at all times

Failure to comply with ULSU bylaws or policies without GA authorization may result in de-ratification.

5. Executive Structure


The Art Society executive team may include the following positions:

  • President or Co-Presidents

  • Vice President (optional)

  • Treasurer

  • Events Coordinator

  • Communications Coordinator

  • Social Media Manager

  • Niche Gallery Coordinator

Role Flexibility

  • The structure of President / Co-Presidents and/or Vice President positions is at the discretion of the incoming executive team following annual turnover

  • The roles of Communications Coordinator and Social Media Manager are often held by the same individual, but may be separated at the discretion of the executive team


6. Executive Responsibilities

The President or Co-Presidents shall:

  • Provide leadership and uphold the mandate of the Art Society

  • Facilitate executive and general meetings

  • Prepare and circulate meeting agendas

  • Ensure meeting minutes are recorded and made accessible to members

  • Serve as primary liaison to the Students' Union and attend General Assembly meetings

  • Hold signing authority for banking and official documents

  • Support and oversee the work of all executive members

  • Attend club events and Club Exec meetings

The Vice President shall:

  • Support the President(s) in all leadership duties

  • Act on behalf of the President(s) when they are unavailable

  • Assist with conflict resolution and executive oversight

  • Hold signing authority for banking, if designated

  • Attend club events and Club Exec meetings

  • Take on additional responsibilities as assigned by Presidential roles

The Treasurer shall:

  • Manage the Art Society's budget and finances

  • Maintain accurate records of all income and expenses

  • Prepare financial reports when required

  • Ensure responsible use of funds for events and initiatives

  • Hold signing authority for banking

  • Attend club events and Club Exec meetings

  • Take on additional responsibilities as assigned by Presidential roles

The Events Coordinator shall:

  • Plan, organize, and execute Art Society events

  • Book rooms, spaces, and equipment as needed

  • Coordinate logistics such as materials, schedules, and travel (if applicable)

  • Work collaboratively with the Communications Coordinator and Social Media Manager to promote events

  • Attend club events and Club Exec meetings

  • Take on additional responsibilities as assigned by Presidential roles

The Communications Coordinator shall:

  • Manage official Art Society email communications

  • Send newsletters and event announcements to members

  • Maintain and update the Art Society website

  • Serve as an official point of contact for collaborations and inquiries

  • Attend club events and Club Exec meetings

  • Take on additional responsibilities as assigned by Presidential roles

The Social Media Manager shall:

  • Manage and post regularly on Art Society social media platforms

  • Create and schedule promotional content for events and opportunities

  • Work closely with the Communications Coordinator to ensure consistent messaging and branding

  • Attend club events and Club Exec meetings

  • Take on additional responsibilities as assigned by Presidential roles

The niche Gallery Coordinator shall:

  • Plan and organize exhibitions for the niche Gallery

  • Approve and manage submissions in collaboration with the designated sub-committee

  • Ensure that no generative AI work is exhibited in the niche Gallery

  • Update and maintain the niche Gallery website

  • Coordinate installation, exhibition schedules, and calls for artists

  • Regularly maintain the gallery space and installation materials list in between exhibits

  • Refer to and update the niche Gallery information sheet

  • Work closely with the Communications Coordinator and Social Media Manager on all promotional materials related to the niche Gallery

  • Attend club events and Club Exec meetings

  • Take on additional responsibilities as assigned by Presidential roles


7. niche Gallery


The niche Gallery is an exhibition space located on the eighth floor of Fine Arts, inside locker W138.

Only human-made art is permitted. No generative AI work will be accepted, displayed, or promoted in the niche Gallery. Submissions found to be AI-generated will be rejected.

At the discretion of the executive team, a sub-committee can be formed, coordinated by the Art History / Museum Studies Liaison, to collaboratively make curatorial decisions regarding the niche Gallery.

8. Code of Conduct


All members and executives of the Art Society are expected to:

  • Act respectfully, professionally, and inclusively

  • Foster a welcoming environment for people of all backgrounds and skill levels

  • Communicate clearly and in good faith

  • Uphold ULSU policies and the Alberta Human Rights Act

  • Respect the Art Society's stance on AI - no generative AI content in events, exhibitions, or promotions

Harassment, discrimination, abuse of authority, misuse of Art Society resources, or knowingly submitting or promoting AI-generated work as human-made will not be tolerated.

9. AI Policy and Artist Pledge


The University of Lethbridge Art Society is committed to supporting human artists and the value of original, human-made creative work. We believe that art is a deeply human act of expression, labor, and communication.

Generative AI is not permitted in any Art Society space, event, or platform. This includes but is not limited to:

  • The niche Gallery (submissions, exhibitions, and promotions)

  • Art Society events (workshops, painting nights, craft nights, etc.)

  • Art Society social media, website, and promotional materials

  • Any collaboration or partnership involving the Art Society

For the purpose of this policy:

  • Human-made art refers to work created primarily through the direct physical or digital labor of a human artist, using tools and materials that do not rely on generative AI models (e.g., Midjourney, DALL-E, Stable Diffusion, Adobe Firefly, or similar).

  • Generative AI refers to algorithms or models that generate images, text, or other media based on prompts or training data scraped from existing works, often without consent or compensation to original artists.

The following are not considered violations of this policy:

  • Using AI for accessibility tools (e.g., text-to-speech, image description generators)

  • Academic work required for a course (though we encourage students to advocate for human-first practices in their classes), if this is the case the use of AI must be disclosed.

  • Any submission found to be AI-generated will be rejected from the niche Gallery or any event.

  • If an artist knowingly submits AI-generated work as human-made, they may be barred from future submissions.

  • Executives who violate this policy will be subject to accountability measures outlined in Section 10.

  • All members, execs, and exhibiting artists are asked to acknowledge the following pledge. This can be done digitally via a Google Form or on paper at events.
  • I acknowledge that the University of Lethbridge Art Society supports human-made art only and does not permit generative AI in its events, exhibitions, or promotions.

    I affirm that any work I submit to the Art Society (including but not limited to the niche Gallery, events, and social media promotions) is my own original human-made work, created without the use of generative AI tools.

    I understand that knowingly submitting AI-generated work as human-made may result in rejection of my submission and potential removal from future opportunities with the Art Society


10. Accountability and Failure to Fulfill Responsibilities


If an executive member is not fulfilling their responsibilities:

  • The President, Vice President, or a delegated executive (often the Communications Coordinator) may initiate contact

  • All communications regarding performance concerns must take place through official Art Society communication channels (e.g., club email) to ensure proper documentation

A private, formal meeting may be held involving:

  • The President and/or Vice President

  • The executive member in question

  • A Fine Arts professor mentor

  • A third executive member acting as a witness

If neither the President nor Vice President is available:

  • An appointed executive may meet with the executive member in question

  • A written email summary of the meeting must be sent to:

    • The President

    • The Vice President

    • All meeting participants

The summary must be acknowledged by all parties present at the meeting.

Possible outcomes may include:

  • Clarification of expectations and timelines

  • Redistribution of responsibilities

  • Probationary period

  • Removal from position, following ULSU procedures if required

11. Elections


Executive elections shall occur annually no later than April 15.

The executive committee will determine the exact date and announce it at least one month in advance.

Nominations

  • Nominations will be collected via online submission (e.g., Google Forms)

  • The nomination period will remain open for two weeks

  • Any member in good standing may nominate themselves or another member in good standing

Voting

  • Voting will begin after nominations close

  • The voting period will last one week

  • Results will be announced within one week of voting closing and no later than April 15

12. Amendments


Any amendments to this constitution must be approved by:

  • A majority of the executive council, and

  • 50% plus one of voting members present at the meeting

All approved amendments shall be submitted to the VP Student Affairs in accordance with Students' Union policy.

13. Living Document Clause


This is a living document and can be changed or altered in the future at the discretion of the current executive team. All changes must be communicated with membership and the Students' Union.

xec meetings are open to member but attendance is not required.
