Your Responsibilities


  • Plan and organize exhibitions for the niche Gallery.

  • Approve and manage submissions in collaboration with the designated sub-committee.

  • Ensure that no generative AI work is exhibited in the niche Gallery.

  • Update and maintain the niche Gallery website.

  • Coordinate installation, exhibition schedules, and calls for artists.

  • Regularly maintain the gallery space and installation materials list in between exhibits.

  • Refer to and update the niche Gallery information sheet.

  • Work closely with the Communications Coordinator and Social Media Manager on all promotional materials related to the niche Gallery.

  • Attend club events and Club Exec meetings.

  • Take on additional responsibilities as assigned by Presidential roles.


Monthly To-Dos


  • Review submissions.

  • Schedule exhibitions (3-4 weeks each).

  • Communicate with accepted artists.

  • Coordinate installation and takedown.

  • Maintain the gallery space and materials.

  • Update inventory as things are used or added.

  • Work with Comms + Social Media on promotions.

  • Attend exec meetings.

Curator vs. Artist


This is an important distinction for how you present exhibitions.

Artist (most common):

    • Students display artworks they created themselves.

    • The student is credited as the "Artist".

    • This is the default for most submissions.

Curator (rare):

    • Student artfully displays artifacts, familial objects, or things they did not make themselves.

    • The student is credited as the "Curator".

    • The curation of the pieces becomes the art,  it must be thought-provoking.

    • The niche is not a "show and tell" location. Allowance of curated pieces is subjective. Things chosen to display should be significant.

Installation Guidelines


About the Space

​Walls:

  • The walls are plywood, not drywall!

  • This makes it super difficult to insert pins and nails.

  • Nails are easier than pins (due to hammer), but this is subjective to the artist's needs.

  • 2026- Changing the walls to drywall would be the most ideal thing in the world for ease of hanging artwork up.

​Ceiling:

  • Artists can hang art from the ceiling through the slatted design.

  • It's easiest to slide the ceiling out, tie to it, and adjust according to how it looks placed back in the niche.

​Lighting:

  • There is currently a single hanging light.

  • Do not place anything flammable on, in, or around the light.

  • The fan can be used for display purposes, but is also used (to the best of knowledge) to keep the light from overheating.

  • 2026- Uncertain if the lightbulb is LED or not.

  • 2026- New lights would be a great investment, track lights or fix/alter the previous lights stored above the gallery

Painting Policy

​Recommendation: Use coloured foam board or paper for ease of installation. It's simpler, less messy, and still ​gives a custom backdrop.

​If artist wants to paint the walls:

  • Artist must provide wall paint, niche and art Technicians have white paint.

  • Notify niche Gallery Coordinator in advance.

  • Schedule a date prior to installation.

  • The ceiling must be removed if walls are being painted any other colour than white.

  • Info on painting walls white again in "Upkeep and Maintenance" below.


Installation timeline

  • Confirm dates with artist.

  • Review size restrictions (89cm H x 27cm W x 88.3cm D).

  • Discuss painting needs (see Painting Policy below).

  • Discuss display plans - How do they intend to display their work? On plinths? On walls? Hanging? On floor?

  • Confirm materials needed (fishing string, lights, plinths, museum wax, etc.)

  • Prepare based on their needs so installation goes smoothly.

  • Send niche certificate to president(s) for signing.

  • Unlock gallery Check Master password doc for niche locker combinations.

  • Set up requested materials.

  • Assist artist as needed (or step back if they're installing solo).

  • Take installation photos for archive.

  • Update website with current show info

  • Post on Instagram and send new exhibition email (opening announcement - coordinate with Social Media and Comms)

  • Add show to niche Gallery Archive

  • Send artist their niche certificate and "congrats on your exhibition" email (coordinate / delegate with comms)

  • Coordinate with artist for pickup.

  • Clean gallery space.

  • Restock materials.

  • Update inventory if needed.

  • If the niche niche will be empty in between exhibits place "under construction sign" same if multy-day installation.

Upkeep & Maintenance


Repainting Walls (Back to White)

  1. Speak to Fine Arts Technicians (Mary-Anne or Trent) about using wall paint from the installation/deinstallation cart.

  2. There are cans of paint in the niche's bottom locker space (quality/dryness unknown - probably could throw out).

  3. Use the paint roller and paint tray in the bottom locker space at the back (rather than the installation cart's rollers).

  4. You can attach our roller to one of the roller poles from the install cart.

  5. Use a drop cloth whenever you or an artist paints the walls.

  6. There is a jean scrap in the bottom locker's cart - lay this down and tape it to the walls.

Hard-to-reach corners:

  • It's difficult to reach the back corners with a paintbrush/roller.

  • There is a DIY foam brush on a stick for this purpose (located in Art Society space)

ΒΎ round ceiling edging:

  • Should be replaced and mitered to be more flush and professional for ease of painting

  • Discuss with Trent - he expressed interest in mitering the ΒΎ round for us in 2024-2026

Scissors Maintenance

  • The scissors in the niche should be cleaned with hand sanitizer or rubbing alcohol after using them to cut double-sided invisible tape.

  • Otherwise the scissors' blades will become too sticky to use.

Storage


​Location: Bottom locker (W139) - below the niche Gallery.

​Issues:

  • The locker is quite compact

  • Reorganization of the shelving unit may be needed with purchasing of new tools

​Future considerations (2026):

  • Discuss with the Art Society Executive team about potentially allocating space in the Art Society office for the niche gallery's installation tools, plinths, or whatever else if needed.

Allowed:

  • Human-made art of all mediums.

  • Curated pieces that are significant and thought-provoking (rare).

When uncertain:

  • Connect with the Art Society Executive team.

  • Consult with professor mentor (currently -2026- Mandy Espezel, a.espezel@uleth.ca).

First 30 Days (niche-Specific)



  • Meet with outgoing niche gallery coordinator.
  • Review submission queque (respond to any pending)
  • Update inventory if needed.
  • Create shcedule for upcoming semester (3 - 4 shows)
  • Update website if needed
  • Introduce your self to Mary-Anne, Trent and our Professor mentor.
